Scope
This policy applies when you visit a Kylian website, contact us, create an account, or use a service that links to this policy. It also explains how Kylian handles information when a property operator authorizes Kylian to communicate with residents, prospects, vendors, and other contacts.
When Kylian processes personal information for a customer, the customer generally decides why and how that information is used. In that setting, the customer is the controller or business and Kylian acts as its processor or service provider. The customer agreement and any signed data processing addendum control that processing.
Information we collect
The information available to Kylian depends on the services and integrations a customer enables.
- Account and contact details, such as name, work email, phone number, role, and organization.
- Property operations data, such as property, unit, lease, prospect, resident, vendor, maintenance, approval, and task records.
- Communication content and metadata from authorized email, SMS, voice, chat, calendar, and property management system connections.
- Technical and usage data, such as IP address, browser type, device data, timestamps, page activity, error events, and security logs.
- Information you submit in forms, support requests, demonstrations, or other communications with Kylian.
How we use information
Kylian uses personal information only for legitimate business and service purposes.
- Provide, operate, secure, and support the service.
- Carry out customer-authorized property workflows and write results back to connected systems.
- Authenticate users, enforce permissions, prevent abuse, and investigate security events.
- Respond to questions, schedule demonstrations, and communicate about the service.
- Measure reliability and improve product quality using data handled under applicable agreements and settings.
- Comply with law, enforce agreements, and protect Kylian, customers, users, and the public.
Connected services and communications
A customer may authorize Kylian to connect to a property management system, email account, calendar, voice provider, messaging provider, or other business system. Kylian accesses those services only through the permissions granted by the customer and only to provide enabled features.
Customers are responsible for having the rights, notices, and consents required to provide data to Kylian and to authorize communications with their residents, prospects, vendors, and personnel. Access to a connected service can be revoked through that provider or through Kylian where supported.
Retention and deletion
Kylian retains information for the period needed to provide the service, meet contractual commitments, maintain security and audit records, resolve disputes, and comply with law. Retention can vary by data type, customer configuration, and legal requirement.
Customers may request return or deletion of customer data as provided in their agreement. Backup copies may remain for a limited period until they are overwritten through normal recovery cycles, and they remain protected while retained.
Security
Kylian uses administrative, technical, and organizational safeguards designed for the sensitivity and risk of the information it processes. Controls may include access restriction, authentication, encrypted transport, logging, environment separation, change review, monitoring, and recovery procedures.
No system is completely secure. If you believe information has been exposed or an account has been compromised, contact us immediately.
Privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a portable copy of personal information. You may also have the right to withdraw consent or appeal a decision. Kylian will not discriminate against you for exercising a privacy right.
If Kylian holds information on behalf of a property operator, submit your request to that operator first. Kylian will assist the operator as required by applicable data protection law, including the GDPR, UK GDPR, CCPA and CPRA, and other comprehensive United States state privacy laws where they apply.
Children, changes, and contact
The service is intended for organizations and adults acting in a business or property context. It is not directed to children under 13, and Kylian does not knowingly collect personal information from children under 13 through the website.
We may update this policy when our practices or legal obligations change. The effective date on this page identifies the current version. Questions and privacy requests can be sent to team@usekylian.com.
